Terms & Conditions Agreement
Women’s Golf and Travel, LLC, (“WGT”) is a golf and lifestyle travel company that plans and executes carefully curated, luxury golf trips for our clients. As used herein, the terms “we”, “us”, “our”, and “Women’s Golf and Travel” refer to Women’s Golf and Travel, LLC, dba Women’s Golf and Travel Concierge, a Minnesota limited liability company. The terms “you”, “traveler”, “client,” or “participant” refers to the traveler making a booking with us and all members of their group.
TO BOOK A PACKAGE TOUR: Public golf trips are bookable on Women’s Golf and Travel’s website (www.womensgolfandtravel.com). Follow the booking process by clicking on the book now buttons for each individual trip listed on the website or in our newsletters. TOUR PRICING: All prices are listed in U.S. Dollars (USD) and are subject to change without prior notice due to fluctuations in currency exchange rates, as well as changes in applicable duties, taxes, and government levies. Single and double occupancy rates are available and require a non-refundable deposit to secure a reservation. The full balance of the package must be paid in advance of the trip’s departure date. For bookings made 60 days or less from date of departure, the full package price is required at the time of booking to confirm the reservation.
Women’s Golf & Travel is unable to modify the tour package price, substitute or exchange any package inclusions, to customize a participant’s itinerary in any manner that would alter the standard package pricing or inclusions. This includes, but is not limited to, adjustments to unused rounds of golf, airport transportation, meals, or the number of nights included in the package. However, participants may request additional services or add-ons, which can be arranged for an additional fee, subject to availability.
DEPOSIT/PAYMENT: A non-refundable deposit is required at the time of reservation to secure your booking. Women’s Golf & Travel (WGT) accepts most major credit cards and partners with third-party payment processors, including WeTravel, Stripe, Square, and Venmo Business.
To process credit card payments, the cardholder is required to provide a valid billing address and security code through a secure payment system. By submitting payment, the cardholder acknowledges and agrees to Women’s Golf & Travel’s Terms and Conditions.
DOMESTIC (USA) GOLF TRIPS (PUBLIC & PRIVATE GROUPS)
To secure and confirm your reservation for a trip, a minimum non-refundable deposit of $1,250 is required. This deposit may vary depending on the specific requirements of third-party suppliers, including but not limited to golf resorts, golf courses, and in-market tour operators, who may mandate higher deposits at the time of booking. In such cases, you will be informed of the exact deposit amount at the time of your reservation.
- A payment equal to 50% of the total single or double occupancy package is required no later than 180 days prior to the departure date, with the remaining balance due 60 days before the departure date. Upon receipt of your initial deposit, you will receive an email confirmation that includes a payment receipt and a schedule of future payments and the outstanding balance.
- PRIVATE GROUPS: When making a booking on behalf of a group, the designated group leader assumes responsibility for communicating these Terms and Conditions to all members of the group. The group leader is also financially liable for the entire booking, including all payments due. Women’s Golf & Travel will not be held liable for the group leader’s failure to inform or distribute these Terms and Conditions to other group members.
INTERNATIONAL GOLF TRIPS (PUBLIC, PRIVATE GROUPS, SPECIAL EVENTS)
To secure and confirm your reservation for a trip, a minimum non-refundable deposit of $2,500 is required. This deposit amount may vary depending on the specific requirements of third-party suppliers, including but not limited to golf resorts, golf courses, and in-market tour operators, who may mandate higher deposits at the time of booking. In such cases, you will be informed of the exact deposit amount at the time of your reservation.
- A payment equal to 50% of the total single or double occupancy package is required no later than 180 days prior to the departure date, with the remaining balance due 90 days before the departure date. Upon receipt of your initial deposit, you will receive an email confirmation that includes a payment receipt and a schedule of future payments and the outstanding balance.
- PRIVATE GROUPS: When making a booking on behalf of a group, the designated group leader assumes responsibility for communicating these Terms and Conditions to all members of the group. Women’s Golf & Travel will not be held liable for the group leader’s failure to inform or distribute these Terms and Conditions to other group members.
LATE PAYMENT FEES: A late payment fee of $75 for domestic trip bookings and $125 for international trip bookings will be applied if the final payment is not received within 10 days of the stated due date.
CHANGES: Any changes requested by the customer after the time of booking, including but not limited to name changes, travel dates, room nights, or other modifications, will be subject to a change fee. This fee applies especially when vendor involvement is required to process the requested changes.
- Public Trips – Domestic & International Packages: $75 per change
- Private Groups – Domestic & International Packages: $100 per change
CHARGEBACKS: By using Women’s Golf & Travel’s services to make a reservation, you agree not to initiate any improper chargebacks. While you have the right to dispute charges with your credit card company (“chargebacks”), we kindly request that you first contact us directly to discuss any questions or concerns regarding charges. We will make every effort to resolve your concerns promptly.
By making a reservation through our services, you acknowledge and accept our cancellation policy. Women’s Golf & Travel reserves the right to dispute any improper chargeback (as determined at our sole discretion) and to recover any associated costs, including, but not limited to, attorney’s fees and administrative expenses. Additionally, in the event of an improper chargeback, Women’s Golf & Travel retains the right to cancel any travel reservation related to the disputed chargeback.
The following chargeback scenarios are considered improper, and Women’s Golf & Travel reserves the right to investigate and dispute such claims:
- Chargebacks arising from non-cancellable reservations, regardless of whether or not the reservation was utilized.
- Chargebacks resulting from charges authorized by family members, friends, associates, or other third parties with direct access to your credit card (excluding cases of documented credit card fraud).
- Chargebacks based on alleged inconsistencies or inaccuracies in the supplier’s product or service description.
- Chargebacks arising from force majeure events or other circumstances beyond the control of Women’s Golf & Travel or the supplier.
- Chargebacks filed due to disagreement with the stated cancellation policy.
- By proceeding with your reservation, you agree to the above terms and conditions regarding chargebacks.
CANCELLATIONS & REFUNDS
Women’s Golf and Travel is obligated to remit payments to all suppliers and vendors well in advance of the departure date. This includes, but is not limited to, payments for accommodations, meals, green fees, admission/venue tickets, transportation, and other related services. All suppliers and vendors maintain their own cancellation policies, which will apply to your booking.
Should you need to cancel your reservation, you are required to notify Women’s Golf and Travel immediately in writing at ashlee@womensgolfandtravel.com and request written confirmation of your cancellation. Any refunds due for cancellations will be issued within 60 days of written notification.
All tour features and components that are unused or partially used are non-refundable. No refunds will be provided for any absence from all or any portion of the tour once it has commenced. This includes, but is not limited to, missed meals, golf outings, sightseeing excursions, transportation, or any other activities included in the tour itinerary.
Domestic – Cancellation Policy
- Cancellations made 60 days or more prior to the departure date: The package cost, less the non-refundable deposit and any non-refundable vendor deposits, will be refunded.
- Cancellations made 31–59 days prior to the departure date: 50% of the total package cost, minus the non-refundable deposit, will be refunded.
- Cancellations made 30 days or less prior to the departure date: No refund will be provided.
- Private Groups: For private group tours, any individual cancellation will impact the overall group pricing. In the event of a cancellation, it is the sole responsibility of the individual canceling to secure a replacement participant to avoid additional shared costs. Women’s Golf & Travel is not responsible for finding a replacement. If no replacement is secured, any additional costs resulting from the cancellation will be divided among and borne collectively by the remaining group members.
International – Cancellation Policy
- Cancellations made 90 days or more prior to the departure date: The package cost, less the non-refundable deposit and any non-refundable vendor deposits, will be refunded.
- Cancellations made 61–89 days prior to the departure date: 50% of the total package cost, minus the non-refundable deposit, will be refunded.
- Cancellations made 90 days or less prior to the departure date: No refund will be provided.
- Private Groups: For private group tours, any individual cancellation will impact the overall group pricing. In the event of a cancellation, it is the sole responsibility of the individual canceling to secure a replacement participant to avoid additional shared costs. Women’s Golf & Travel is not responsible for finding a replacement. If no replacement is secured, any additional costs resulting from the cancellation will be divided among and borne collectively by the remaining group members.
TOURNAMENTS / SPECIAL EVENTS (i.e. SOLHEIM CUP) – CANCELLATION POLICY
Tournaments and special events require additional deposits and stricter terms and conditions. Due to the nature of these events and the policies imposed by vendors and tickets purchased, all deposits and payments are non-refundable.
TRAVEL INSURANCE
It is the sole responsibility of the traveler to safeguard their travel investments. Women’s Golf & Travel recommends purchasing comprehensive travel insurance to protect against potential risks, including but not limited to trip interruption or cancellation, baggage loss, medical emergencies, accidents, evacuation, repatriation, or other losses, damages, injuries, delays, or inconveniences.
Travel insurance plans can provide coverage for non-refundable trip deposits and payments due to cancellations or interruptions caused by covered reasons, such as illness or injury before or during the trip. Additionally, travel insurance may reimburse medical expenses (including costly medical evacuations), missed connections, and lost or delayed baggage.
While the purchase of travel insurance is not mandatory, Women’s Golf & Travel requires a signed travel insurance waiver to be submitted prior to departure. By choosing to travel without adequate travel insurance coverage, you agree that Women’s Golf & Travel is not liable for any losses, damages, or expenses that could otherwise have been covered under a travel insurance policy.
We do not carry, and have no obligation to carry, insurance coverage to protect you. For your convenience, we offer Travelex Insurance Services, Inc (CA Agency License #0D10209) travel protection plans. WEATHER POLICY (PUBLIC & PRIVATE GROUPS)
Golf courses at international destinations generally remain open during inclement weather. Travelers are strongly encouraged to bring appropriate rain gear and prepare to play in a variety of weather conditions. Women’s Golf & Travel (WGT) does not provide refunds or issue rain checks for future play resulting from weather-related interruptions or cancellations.
For group public golf trips, WGT may attempt to arrange an alternative day of play based on the itinerary. However, such arrangements cannot be guaranteed. No refunds will be provided if a scheduled round of golf cannot be played due to weather or other circumstances beyond our control.
PRIVATE GROUPS: It is the group leader’s responsibility to inquire about the golf course policies regarding rain or inclement weather. You must contact the individual course directly to confirm whether the course is officially closed prior to playing.
MEDIA RIGHTS
The traveling guest hereby grants to Women’s Golf and Travel the perpetual, worldwide, royalty-free, and irrevocable right and permission to use the Traveling Guest’s likeness, image, voice, and/or words in any photographs, videos, recordings, films, broadcasts, or any other form or medium now known or hereafter developed, including but not limited to television, radio, social media, the Internet, or printed materials, for any lawful purpose without compensation, payment of royalties, notification, or further permission. The Traveling Guest further acknowledges, understands, and irrevocably agrees that:
- Any such materials will become the sole property of WGT and will not be returned to the Traveling Guest.
- WGT and the Releasees may edit, alter, copy, exhibit, publish, or distribute such materials for the purpose of promoting WGT, its programs, or for any other lawful purpose.
- The Traveling Guest waives any right to inspect, approve, or make claims regarding the use of their likeness, image, voice, and/or words in any such materials created by WGT or its affiliates.
ADVISEMENT BY TRAVEL AGENTS: Travel agents warrant that each client has been provided with a copy of these Terms and Conditions and has been advised to review them carefully. Clients acknowledge and agree that they fully understand and are subject to the requirements and policies outlined herein.
ENTRY REQUIREMENTS: A valid passport is required for U.S. citizens traveling to most international destinations. Passports must be valid for at least six months beyond the date of entry into the destination country. Depending on the destination, visas may also be required. Travelers are responsible for ensuring compliance with all entry requirements. Please contact us for additional information or assistance.
TRAVEL DOCUMENTS: Travel documents will be electronically delivered at least 14 days prior to departure for domestic travel and at least 21 days prior to departure for international travel. Under no circumstances will Women’s Golf & Travel (WGT) release travel documents without full payment of the booking.
AIR TRAVEL: Airfare is not included in any escorted or customized golf trip package and is the sole responsibility of the traveler. Travelers must book their own airfare, and any issues related to airline travel must be resolved directly with the airline. WGT strongly recommends purchasing air travel insurance through the airline or a comprehensive travel insurance plan to cover unforeseen expenses.
Travelers must not book air reservations until they have received confirmation of their booking with WGT. Your contract for airfare is exclusively with the airline carrier and subject to its terms and conditions. WGT is not responsible for airline cancellations, delays, lost luggage, missed connections, or any additional costs, including change fees or cancellation fees, incurred by the traveler.
RE-CONFIRM YOUR FLIGHT: Travelers are advised to reconfirm their flight schedule directly with the airline at least 24 hours prior to departure to account for any last-minute changes or delays. Most airlines also allow passengers to check in online within 24 hours of departure.
RENTAL CARS: A valid driver’s license and a major credit card (or a substantial cash deposit) are required for car rental. Minimum and maximum age restrictions for drivers may apply and vary by rental company. Please consult with your Women’s Golf & Travel (WGT) specialist for detailed information regarding specific rental car restrictions.
For domestic car rentals, inclusions cover time and mileage only. For international car rentals, inclusions typically cover unlimited mileage, time, local taxes, and Collision Damage Waiver (CDW) insurance.
All additional charges related to car rentals, including but not limited to full coverage insurance, taxes, airport fees, fuel costs, and optional items or upgrades, are the sole responsibility of the renter and must be settled directly with the rental car provider.
ASSUMPTION OF RISK & RESPONSIBILITY
NON-RESPONSIBILITY: Women’s Golf and Travel, and its employees, shareholders, agents, and representatives (collectively, also “Women’s Golf and Travel”) use third-party suppliers to arrange tours, golf courses, events, activities, transportation, sightseeing, lodging, and all other services or components related to this tour (“Suppliers”). WGT is an independent contractor and is not an employee, agent, or representative of any of these Suppliers. WGT does not own, manage, operate, supervise, or control any transportation, vehicle, airplane, hotel, restaurant, or any other entity that supplies services related to your tour. All Suppliers are independent contractors and are not agents, employees, affiliates, or representatives of Women’s Golf and Travel. All tickets, receipts, coupons, and vouchers are issued subject to the terms and conditions specified by each Supplier, and by accepting the coupons, vouchers, and tickets, or utilizing the services, all travelers agree that WGT shall not be liable for any loss, injury, or damage to any tour traveler or their belongings, or otherwise, in connection with any service supplied or not supplied resulting directly or indirectly from any occurrence beyond the control of WGT. Women’s Golf and Travel assumes no responsibility or liability for any delay, schedule change, loss, injury or damage or loss of any traveler that may result from any act or omission on the part of others; Women’s Golf and Travel assumes no responsibility or liability for personal property; and Women’s Golf and Travel shall be relieved of any obligations under these terms and conditions in the event of any strike, labor dispute, act of God, or of government, fire, war, whether declared or not, terrorism, insurrection, riot, theft, pilferage, epidemic, pandemic, illness, physical injury, quarantine, medical or customs or immigration regulation, delay, or cancellation. Women’s Golf and Travel accepts no responsibility for lost or stolen items. Women’s Golf and Travel reserves the right to refuse any traveler or potential traveler in its sole, absolute, and unfettered discretion.
ASSUMPTION OF RISK & RESPONSIBILITY: The Traveling Guest acknowledges that golf is a physical sport involving exertion and interaction with other individuals, motorized vehicles, golf carts, golf clubs, golf balls, and other unknown, unanticipated, or unpredictable risks and hazards. These risks include, but are not limited to, exposure to viruses or communicable diseases such as SARS-CoV-2, the virus that causes COVID-19 (“COVID-19”), as well as the potential for serious injury, permanent disability, or death (“Golf Tour Injuries”). By participating, the Traveling Guest voluntarily assumes all such risks.
The Traveling Guest further acknowledges that participation in any golf activity, destination tour, or golf school is voluntary and that they are in adequate physical condition to participate in the chosen activities. The Traveling Guest affirms they are fully capable of engaging in the physical demands of the sport of golf and any associated excursions.
Women’s Golf & Travel (WGT) is not liable for providing instruction or guidance regarding the sport of golf, its rules, or the specific golf course being played. Additionally, WGT cannot guarantee or control the conditions of the golf course; the behavior or conduct of other individuals, including players, course employees, staff, or uninvited guests; or any other risks that may arise during the Golf Tour. The Traveling Guest acknowledges these limitations and assumes full responsibility for their participation.
INDEMNIFICATION: Traveler agrees to and shall indemnify, defend, release and hold harmless Women’s Golf and Travel (including its owners, employees, agents, and assigns) from any expenses, losses, liabilities, damages, judgments, settlements and costs (collectively, “damages”) involved with or incurred by Women’s Golf and Travel (including, without limitation, reasonable attorneys’ fees and the advancement of same) with respect to any claims, lawsuits, arbitrations, or other causes of action, which result, directly or indirectly, from: (i) traveler’s breach or violation, or threatened breach or violation, of these terms and conditions; (ii) any damage, costs or expenses caused or incurred by traveler while participating in the trip; (iii) traveler’s breach of any law or rights of any third party; (iv) any defect, negligence, or other wrongful act or omission or any failure of performance of any kind by any airline, hotel, ground transportation, or other Supplier or travel provider; (v) any claim for inconvenience, loss of enjoyment, mental distress, or other similar claims; (vi) any delayed departure, missed connection, substitute accommodation, termination of service or change in fares or rates; (vii) overbooking, flight cancellation, lost or misconnected baggage, or any claim relating to any airfare or flight whatsoever; (viii) your use of any travel product or service not booked through Women’s Golf and Travel; and (viv) your use of Women’s Golf and Travel’ website or any travel documentation provided to you by Women’s Golf and Travel.
ENTIRE CONTRACT: This is the complete, final, and exclusive binding contract between the parties relating to travel and supersedes all prior agreements, and understandings, both written and oral, and may not be amended or altered after your initial deposit has been made except in writing, signed by all parties.
SEVERABILITY: If any provision or portion of any provision is held unenforceable or invalid, the validity and enforceability of the enforceable portion of any such provisions shall not be affected.
CONFIDENTIALITY: No confidential information of either party shall be disclosed to other parties without the written consent of the other party.
CHOICE OF LAW/VENUE/CLASS ACTION WAIVER/LIMITATION OF DAMAGES/NOTICE OF CLAIM: These Terms and Conditions and all attachments hereto and the rights of the parties hereunder shall be governed by and construed by the laws of the State of Minnesota exclusive of conflict or choice of law rules. Any claims shall be brought in a court of competent jurisdiction located in Minnesota. You agree that you will only bring claims against Women’s Golf and Travel, LLC in your capacity and not as a plaintiff or class member in any purported class action or representative proceeding. Women’s Golf and Travel, LLC shall not in any case be liable for other than compensatory damages, and your payment of a deposit on a trip means that you agree to these conditions of sale and expressly waive any right to punitive damages. You understand and agree that no claims will be considered and that you will not bring suit against Women’s Golf and Travel, LLC unless you have first provided a typewritten (and not emailed) notice of such claim to Women’s Golf and Travel, LLC within 30 days after the trip or cancellation of the trip. Please understand that we cannot consider any complaints, refund requests, issues with your travel, or any other post-vacation submissions if you did not provide Women’s Golf and Travel, LLC with a reasonable opportunity to assist you during your trip.
FORCE MAJEURE: Women’s Golf and Travel assumes no liability for, any loss, damage, delay, or cancellation resulting in whole or in part from an Act of God or any other force majeure condition, including, without limitation: fire, volcanic eruption, hurricane, environmental pollution or contamination, inclement weather, earthquake, low or high water levels, flood, water or power shortages or failures, tropical storms or hurricanes, riots or civil commissions or disturbances, and any other acts of a similar nature, sabotage, arrests, strikes or labor disruptions, restraint of rulers or peoples, expropriations, acts of terrorism, war, insurrection, quarantine restrictions, government health advisories, epidemics, pandemics, or warnings or alerts of any kind of nature, government seizures, refusal or cancellation or suspension or delay of any government authority or any license, permit or authorization, damages to its facilities or the travel Supplier and its facilities, or any other unforeseen circumstances or any other factors unforeseen by WGT that impacts negatively on, or hampers, its ability to fulfill any of its contractual conditions. In the circumstances amounting to force majeure, we will not be required to refund any money to you, although if we can recover any monies from our Suppliers, we will refund these to you without any charge by WGT. The original non-refundable deposit will not be returned as it accounts for the work we did in planning your tour. If we and any of our Suppliers are affected by Force Majeure, we and our Suppliers shall be entitled to, and may in our sole discretion, vary or cancel any itinerary or arrangement about the trip, and choose to offer future travel credits (but are under no obligation to do so).
CHANGES TO THESE TERMS AND CONDITIONS
We reserve the right, in our sole, absolute, and unfettered discretion, to update or change these Terms and Conditions at any time, without prior notice. Updated versions of the terms and conditions will be posted here on this website and are effective immediately upon posting. Please check frequently, especially before you make a booking, to see if these Terms and Conditions have changed. Your continued use of our services, including continuing to use or maintain any bookings after any changes to the Terms and Conditions, constitutes your consent to said changes.
