Terms & Conditions Agreement
Women’s Golf and Travel, LLC, (“WGT”) is a golf and lifestyle travel company that plans and executes carefully curated, luxury golf trips for our clients. As used herein, the terms “we”, “us”, “our”, and “Women’s Golf and Travel” refer to Women’s Golf and Travel, LLC, dba Women’s Golf and Travel Concierge, a Minnesota limited liability company. The terms “you”, “traveler”, “client,” or “participant” refers to the traveler making a booking with us and all members of their group.

TOUR PRICING: All prices are in USD and subject to change due to currency fluctuation and changes in duties, taxes, and government levies. Single and Double Occupancy rates are available for each trip and will be required to pay in full before the trip takes place.
DEPOSIT/PAYMENT: A NON-REFUNDABLE deposit is required at the time the reservations are requested. Women’s Golf and Travel accepts most major credit cards and works with third-party merchants of services such as Stripe, Square, Venmo Business, and WeTravel. To process credit card payments, each cardholder must provide a billing address and security code via a secure payment system. Cardholders must acknowledge & accept WGT’s Terms and Conditions.
Domestic Golf Trips:
Individual – A minimum Non-Refundable deposit of 25% per person of the total package price or $1,000 deposit, whichever is greater, is due to reserve and hold your place on a trip. Depending on the suppliers (i.e. golf resorts, golf courses, in-market tour operators) and their mandatory deposits, the deposit may be more than the standard $1,000 and therefore you will be advised of the deposit amount at the time of booking. An additional 50% of the booking total is due 180 days prior and final payment is due 60 days before the start of the itinerary. A detailed receipt will be sent at the time of booking to notify you of future payments.
Private Groups (12+) – A minimum Non-Refundable deposit of 25% per person of the total package price or $1,500 deposit, whichever is greater, is due for domestic U.S. trips at the time of booking. A separate agreement will be sent and the requires a signature before WGT proceeds with any arrangements or trip details. Depending on the suppliers (i.e. golf resorts, golf courses, in-market tour operators) and their mandatory deposits, the deposit may be more than the standard $1,500 and therefore you will be advised of the deposit amount at the time of booking. An additional 50% of the booking total is due 180 days prior and final payment is due 90 days (or more if the contract stipulates) before the start of the itinerary.
If you are making a booking as a group, the leader of the group is responsible for sharing these Terms and Conditions with all members of the group and is financially responsible for the booking. We will not be liable for a group leader’s failure to share these Terms with all travelers in their group.
International Golf Trips:

Important Note: Specific deposit, payment, and cancellation policies may differ according to supplier and vendor. Special payment and cancellation policies may apply to group/event packages. If special terms apply, these will be provided at the time of booking.
Late Payment Fees: $50 late fee for Domestic & $100 late fee for International will be imposed if ‘Final Payment’ has not been received within 10 days of the due date.
You agree not to make any improper chargebacks. In certain cases, you can dispute charges with credit card companies (“chargebacks”). Before initiating a chargeback, we ask you first to call us to discuss any questions or concerns about our charges. We will work with you in attempting to resolve your concerns. By using our service to make a reservation, you accept and agree to our cancellation policy. Women’s Golf and Travel retains the right to dispute any chargeback that is improper (in its sole discretion) and recover any costs, including without limitation attorney’s fees, related to improper chargebacks. Additionally, in the event of an improper chargeback, we retain the right to cancel any travel reservation related to that improper chargeback. The following chargeback scenarios are improper, and we retain the right to investigate and rebut any such chargeback claims:
- Chargebacks resulting from non-cancellable reservations, whether or not the reservation is used;
- Chargebacks resulting from charges authorized by family, friends, associates, or other third parties with direct access to your credit card. This does not include credit card fraud;
- Chargebacks arising from inconsistency or inaccuracy about the Supplier’s product description;
- Chargebacks resulting from force majeure or other circumstances that are beyond the control of Women’s Golf and Travel or a Supplier; and
- Chargebacks resulting in because you do not agree with the cancellation policy.
CANCELLATIONS
Women’s Golf and Travel is required to pay all Suppliers well in advance of your tour date. This includes but is not limited to accommodations, meals, green fees, admission/venue tickets, transportation, etc. All Suppliers have their own cancellation policies, which apply to your booking.
Should a cancellation become necessary, please inform WGT immediately in writing at info@womensgolfandtravel.com and request a written confirmation of your cancellation. Upon receipt, WGT will contact Suppliers for any applicable refunds as outlined in the Supplier’s terms and subject to their review. If you are entitled to a refund, please note that the Supplier is responsible for this refund, not WGT. Suppliers may choose to provide a travel voucher or credit instead of a refund. We are not responsible for a Supplier’s failure to pay a refund or for Supplier’s bankruptcy or insolvency.
Domestic – Cancellation Policy
Individual – 60 days or more before departure, the trip package minus the non-refundable deposit and any additional fees or non-refundable deposits imposed by the vendors (green fees, non-refundable attraction/activities tickets, hotels, etc.) will be refunded. Within 30-59 days before departure, 50% of the total package minus the non-refundable deposit and any additional fees imposed by vendors will be refunded. 30 days or less there is no refund.
Private Groups (12+) – 90 days or more before departure, the trip package minus the non-refundable deposit and any additional fees or non-refundable deposits imposed by the vendors (green fees, non-refundable attraction/activities tickets, hotels, etc.) will be refunded. 89 days or less there is no refund. NOTE: Any person cancelling on a private group tour will affect the price for the entire group. The group will cover the additional costs.
International – Cancellation Policy
Individual – 90 days or more before departure, the trip package minus the non-refundable deposit and any additional fees or non-refundable deposits imposed by the vendors (green fees, non-refundable attraction/activities tickets, hotels, etc.) will be refunded. Within 60-89 days before departure, 50% of the total package minus the non-refundable deposit and any additional fees imposed by vendors will be refunded. 60 days or less there is no refund.
Private Groups (12+) – 90 days or more before departure, the trip package minus the non-refundable deposit and any additional fees or non-refundable deposits imposed by the vendors (green fees, non-refundable attraction/activities tickets, hotels, etc.) will be refunded. 89 days or less there is no refund. NOTE: Any person cancelling on a private group tour will affect the price for the entire group. The group will cover the additional costs.
Groups / Tournaments / Special Events
These types of events may incur additional deposits or stricter terms. These will be noted on the website or invoice statement. Deposits and payments are non-refundable due to the nature of the event and the vendor’s policies. We recognize life occurrences may happen. For tournaments and special events, we will honor a replacement guest with the same payment/accommodation type and upon receipt of a registration form and payment, WGT will reimburse the canceling guest a full refund less the deposit and processing fee of $150.00.
- Please note: When one member of a party cancels, it may affect the total package price for the remaining members.
- If you cancel and are replaced, an administration fee of $100 Domestic and $250 International will apply when a refund is requested and a new credit card charge is processed.
CHANGES
Any customer-initiated changes, (dates, courses, tee times, etc.) requested after the time of booking will result in a change fee plus any applicable increase in price.
- Individual – Domestic US packages: $50 per change. International $75 per change.
- Groups (12+) – Domestic US: $100 per change. International: $150 per change.
- All golf packages will be re-priced at the time the changes are made, which may result in a price different from the original price. Less than 45 days before travel, changes cannot be made without the approval of WGT. We cannot accommodate any changes to a confirmed itinerary after receipt of travel documents (approximately 7 days before arrival for Domestic travel or 21 days before arrival for international travel). All rates and fares that make up the tour cost are subject to change by WGT before final payment based on changes to tour components.
TRAVEL INSURANCE
It is the traveler’s responsibility to protect their purchases. For this reason, Women’s Golf and Travel recommends comprehensive Travel Insurance to protect yourself should the trip encounter an interruption or cancellation, baggage loss, medical issues, accident/life, evacuation, repatriation, or any other loss, damage, injury, delay or inconvenience. Travel protection plans can help protect you in the event of loss of non-refundable trip deposits and payments that result from cancellation or trip interruption (due to a covered reason such as injury or illness before or during the trip). It also helps with reimbursement for medical emergency costs (including very costly medical evacuation costs), missed connections, and baggage loss. The purchase of travel insurance is not required, however, a travel insurance waiver is required to be submitted to Women’s Golf and Travel before departure.
We do not carry, and have no obligation to carry, insurance coverage to protect you. For your convenience, we offer Travelex Insurance Services, Inc (CA Agency License #0D10209) travel protection plans. For more information on the available plans, visit Travelex Insurance or contact 800-228-9792 and reference location number 23-0185.
WGT is not qualified to answer technical questions about the benefits, exclusions, and conditions of travel insurance plans. WGT cannot evaluate the adequacy of the prospective insured’s existing insurance coverage. If you have any questions about your travel protection, call your insurer insurance agent, or call Travelex Insurance 1-800-228-9792 and reference location number 23-0185.
REFUNDS
Any refunds due for cancellations will be issued within 60 days of written notification. Unused or partially used tour features and components are non-refundable. There will be no refunds for any absence from all or any portion of the tour once it commences. This includes such things as missed meals, golf, sightseeing, or any other activity on the tour. However, WGT reserves the right to cancel any individual’s participation in a tour, or any part thereof, for any reason whereupon WGT will refund to the individual whose participation it has canceled a proportionate share of the tour cost (excluding airfare) attributable to the unused portion of the tour.
INCLEMENT WEATHER
Domestic: It is your responsibility to inquire as to the course policy regarding rain or bad weather. You must call the individual course directly to verify if the course is closed BEFORE playing. If the course is officially closed due to inclement weather, it is your responsibility to obtain a “rain check” if you are unable to start or complete your round due to rain. WGT does not issue refunds or rain checks for future play.
International: Golf courses at international destinations are not known to close their course due to inclement weather. We strongly advise that you bring rain gear with you and be prepared to play in all weather conditions. WGT does not issue refunds or rain checks for future play.
ADVISEMENT BY TRAVEL AGENTS: Travel Agents warrant that each client has been provided with and advised to carefully review a copy of the foregoing Terms and Conditions and that the customer fully understands that he/she is subject to said requirements and policies.
ENTRY REQUIREMENTS: Passports are required for U.S. citizens when traveling to most international destinations. Passports should be valid for six months upon entry into the country. Visas may also be necessary for some destinations. Please inquire for more information.
TRAVEL DOCUMENTS: Travel documents will be electronically delivered at least 14 days before departure for Domestic travel and 21 days before International travel. Under no circumstances will WGT release documents without full payment.
AIR TRAVEL: This is not included in any escorted or customized golf trip. Airfare is the responsibility of the passenger traveling and must be booked by the individual(s). All issues with the airlines must be dealt with directly with the airline partner. Purchasing air travel insurance via the airline or a travel insurance plan to cover expenses is strongly recommended. You must not make any air reservation until you receive confirmation of your booking. Your contract for airfare is with the carrier and subject to its terms and WGT is not responsible for any airline cancellations, lost luggage, delays, or missed connections and shall not be liable for any change fees, cancellation fees, or any other additional cost you incur with any air carrier.
RE-CONFIRM YOUR FLIGHT: WGT advises you personally to reconfirm your flight schedule within 24 hours of departure directly with the airline in case of any last-minute changes or delays. Most airlines allow you to check in online within 24 hours of departure.
LATE BOOKINGS: We will make every effort to accommodate reservations booked on short notice. However, bookings made less than 14 days before departure may result in a late booking charge of $25.00 per person (Individuals) or $50.00 per person (Groups).
RENTAL CARS: A valid driver’s license and major credit card (or substantial cash deposit) are required before renting a car, and minimum and maximum driver age restrictions apply. Please check with your WGT travel specialist for an explanation of rental car restrictions. Domestic car rental inclusions cover time and mileage only. International rental car inclusions cover unlimited mileage, time, local taxes, and CDW insurance. All charges for car rentals including, but not limited to full coverage insurance taxes, airport fees, fuel, or any optional items shall be the responsibility of the renter.
NON-RESPONSIBILITY: Women’s Golf and Travel, and its employees, shareholders, agents, and representatives (collectively, also “Women’s Golf and Travel”) use third-party suppliers to arrange tours, golf courses, events, activities, transportation, sightseeing, lodging, and all other services or components related to this tour (“Suppliers”). WGT is an independent contractor and is not an employee, agent, or representative of any of these Suppliers. WGT does not own, manage, operate, supervise, or control any transportation, vehicle, airplane, hotel, restaurant, or any other entity that supplies services related to your tour. All Suppliers are independent contractors and are not agents, employees, affiliates, or representatives of Women’s Golf and Travel. All tickets, receipts, coupons, and vouchers are issued subject to the terms and conditions specified by each Supplier, and by accepting the coupons, vouchers, and tickets, or utilizing the services, all travelers agree that WGT shall not be liable for any loss, injury, or damage to any tour traveler or their belongings, or otherwise, in connection with any service supplied or not supplied resulting directly or indirectly from any occurrence beyond the control of WGT. Women’s Golf and Travel assumes no responsibility or liability for any delay, schedule change, loss, injury or damage or loss of any traveler that may result from any act or omission on the part of others; Women’s Golf and Travel assumes no responsibility or liability for personal property; and Women’s Golf and Travel shall be relieved of any obligations under these terms and conditions in the event of any strike, labor dispute, act of God, or of government, fire, war, whether declared or not, terrorism, insurrection, riot, theft, pilferage, epidemic, pandemic, illness, physical injury, quarantine, medical or customs or immigration regulation, delay, or cancellation. Women’s Golf and Travel accepts no responsibility for lost or stolen items. Women’s Golf and Travel reserves the right to refuse any traveler or potential traveler in its sole, absolute, and unfettered discretion.
INDEMNIFICATION: Traveler agrees to and shall indemnify, defend, release and hold harmless Women’s Golf and Travel (including its owners, employees, agents, and assigns) from any expenses, losses, liabilities, damages, judgments, settlements and costs (collectively, “damages”) involved with or incurred by Women’s Golf and Travel (including, without limitation, reasonable attorneys’ fees and the advancement of same) with respect to any claims, lawsuits, arbitrations, or other causes of action, which result, directly or indirectly, from: (i) traveler’s breach or violation, or threatened breach or violation, of these terms and conditions; (ii) any damage, costs or expenses caused or incurred by traveler while participating in the trip; (iii) traveler’s breach of any law or rights of any third party; (iv) any defect, negligence, or other wrongful act or omission or any failure of performance of any kind by any airline, hotel, ground transportation, or other Supplier or travel provider; (v) any claim for inconvenience, loss of enjoyment, mental distress, or other similar claims; (vi) any delayed departure, missed connection, substitute accommodation, termination of service or change in fares or rates; (vii) overbooking, flight cancellation, lost or misconnected baggage, or any claim relating to any airfare or flight whatsoever; (viii) your use of any travel product or service not booked through Women’s Golf and Travel; and (viv) your use of Women’s Golf and Travel’ website or any travel documentation provided to you by Women’s Golf and Travel.
ENTIRE CONTRACT: This is the complete, final, and exclusive binding contract between the parties relating to travel and supersedes all prior agreements, and understandings, both written and oral, and may not be amended or altered after your initial deposit has been made except in writing, signed by all parties.
SEVERABILITY: If any provision or portion of any provision is held unenforceable or invalid, the validity and enforceability of the enforceable portion of any such provisions shall not be affected.
CONFIDENTIALITY: No confidential information of either party shall be disclosed to other parties without the written consent of the other party.
CHOICE OF LAW/VENUE/CLASS ACTION WAIVER/LIMITATION OF DAMAGES/NOTICE OF CLAIM: These Terms and Conditions and all attachments hereto and the rights of the parties hereunder shall be governed by and construed by the laws of the State of Minnesota exclusive of conflict or choice of law rules. Any claims shall be brought in a court of competent jurisdiction located in Minnesota. You agree that you will only bring claims against Women’s Golf and Travel, LLC in your capacity and not as a plaintiff or class member in any purported class action or representative proceeding. Women’s Golf and Travel, LLC shall not in any case be liable for other than compensatory damages, and your payment of a deposit on a trip means that you agree to these conditions of sale and expressly waive any right to punitive damages. You understand and agree that no claims will be considered and that you will not bring suit against Women’s Golf and Travel, LLC unless you have first provided a typewritten (and not emailed) notice of such claim to Women’s Golf and Travel, LLC within 30 days after the trip or cancellation of the trip. Please understand that we cannot consider any complaints, refund requests, issues with your travel, or any other post-vacation submissions if you did not provide Women’s Golf and Travel, LLC with a reasonable opportunity to assist you during your trip.
FORCE MAJEURE: Women’s Golf and Travel assumes no liability for, any loss, damage, delay, or cancellation resulting in whole or in part from an Act of God or any other force majeure condition, including, without limitation: fire, volcanic eruption, hurricane, environmental pollution or contamination, inclement weather, earthquake, low or high water levels, flood, water or power shortages or failures, tropical storms or hurricanes, riots or civil commissions or disturbances, and any other acts of a similar nature, sabotage, arrests, strikes or labor disruptions, restraint of rulers or peoples, expropriations, acts of terrorism, war, insurrection, quarantine restrictions, government health advisories, epidemics, pandemics, or warnings or alerts of any kind of nature, government seizures, refusal or cancellation or suspension or delay of any government authority or any license, permit or authorization, damages to its facilities or the travel Supplier and its facilities, or any other unforeseen circumstances or any other factors unforeseen by WGT that impacts negatively on, or hampers, its ability to fulfill any of its contractual conditions. In the circumstances amounting to force majeure, we will not be required to refund any money to you, although if we can recover any monies from our Suppliers, we will refund these to you without any charge by WGT. The original non-refundable deposit will not be returned as it accounts for the work we did in planning your tour. If we and any of our Suppliers are affected by Force Majeure, we and our Suppliers shall be entitled to, and may in our sole discretion, vary or cancel any itinerary or arrangement about the trip, and choose to offer future travel credits (but are under no obligation to do so).
CHANGES TO THESE TERMS AND CONDITIONS
We reserve the right, in our sole, absolute, and unfettered discretion, to update or change these Terms and Conditions at any time, without prior notice. Updated versions of the terms and conditions will be posted here on this website and are effective immediately upon posting. Please check frequently, especially before you make a booking, to see if these Terms and Conditions have changed. Your continued use of our services, including continuing to use or maintain any bookings after any changes to the Terms and Conditions, constitutes your consent to said changes.
